Before you start
- Your license key. It starts with
wptl_and was emailed to you once, when you bought your plan. We never store the full key, so if you have lost it, sign in to your agency account and click Regenerate to issue a new one (see if you regenerate your key). - The plugin. It is not on WordPress.org. Sign in to your agency account with the email address you bought the license with, and click Download the plugin.
- An administrator loginon the client’s site, which needs WordPress 5.8 or newer and PHP 7.4 or newer.
Each site you activate uses one slot on your plan: Starter has 10, Studio 25, Agency 50, Agency+ 100 and Network 300. A site is its domain, plus the folder when WordPress lives in one: clientsite.com and clientsite.com/intranet are two sites. Your agency account lists every site that holds a slot.
Install the plugin
In the client’s WordPress dashboard, go to Plugins → Add New Plugin, click Upload Plugin, choose the ZIP you downloaded and click Install Now. Don’t unzip it first.
Click Activate Plugin. A Training Videos menu appears in the dashboard, with a Settings page underneath for administrators.
The download from your account lists itself on the Plugins screen as Training Videos by WP Tutoring. Sites you deploy from a MainWP Dashboard get the neutral build instead, which shows your business name and never names us.
Activate the site
Go to Training Videos → Settings.
Paste the whole key, starting wptl_, into License key and click Save & activate.
You should see Your license is active and the catalog has been refreshed. and a badge showing your plan. The site now holds a slot and appears under Activated sites in your agency account.
The key is stored encrypted on the site. Clients can’t see it, and only administrators can change the settings.
Choose what each client sees
Everything below is on Training Videos → Settings, and each site keeps its own choices.
- Who can watch. Pick the lowest role that sees the Training Videos menu, from Everyone who can log in (Subscribers and up) to Administrators only. The default is Contributors and up (can write posts). Administrators always have access.
- Available videos. Every course and lesson is shown by default. Uncheck a course, or single lessons inside it, to hide them, then click Save availability. New lessons we publish appear automatically unless you hide them.
- Additional Videos. Add your own videos by URL (YouTube, Vimeo, Loom, or a direct link to an
.mp4,.webmor.movfile). They appear in their own section after the courses, up to 50 per site.
The library plays only inside the dashboard, for logged-in users. It is never shown on the public site.
Release a slot
When a client leaves, or a site moves, release its slot so you can use it elsewhere. The slot is free straight away, and the training videos on that site stop playing. There are two ways:
- From your agency account: find the site under Activated sites, click Release and confirm. This works even if you no longer have access to the site.
- On the site: in Training Videos → Settings, click Remove this key. The videos disappear from the site and its slot goes back to your plan.
If a site changes address (a new domain, or gaining or losing www.), the settings page says so. Click Re-activate & refresh catalog to register the new address, which uses a slot, then release the old address from your account.
If you regenerate your key
Regenerate in your agency account shows a new key once and stops the old one working immediately. The sites stay registered, but each site that was activated with the old key needs the new one: open Training Videos → Settings, replace the key in License key and save. Sites managed from MainWP never hold the key; update it once in the extension instead (see the MainWP guide).
Updates
New versions appear on the site’s Plugins and Dashboard → Updates screens like any other plugin, and automatic updates work too. They come from us rather than WordPress.org, so the site must be activated with your key to receive them. The video library itself updates on its own: new lessons show up within the hour, or straight away if you click Re-activate & refresh catalog.
Troubleshooting
The messages below are shown on Training Videos → Settings unless noted.
